How can we help?
Short answers to common questions, each with a link to where it's done.
Getting started
What should I set up first?
Follow the Getting started list on Home: a starter kit for your industry, your people and their PINs, items, suppliers and customers, locations, the stock you have now, a master manufacturing record and your work centers. Each step ticks itself off.
Go thereHow do I bring my data over from another system?
Items: Items > Import. Suppliers, customers and opening stock: Company > Import. Save each list as CSV; the first row names the columns (the template shows them). Nothing is added until you confirm, and then every row goes in, or none.
Go thereWhat is a starter kit?
A ready-made setup for your industry: item categories, quality forms, master manufacturing records and work centers. Load one when you create the company or later under Settings > Setup. It only adds what you don't have; everything is yours to change.
Go thereHow do I check a phone, tablet or scanner works?
Open Check this device on it (from Install the app, or Set up your devices): it checks the connection, whether the app is installed, the screen, notifications, and scanning with the camera or a scanner.
Go thereCan I get notifications on my phone?
Yes: on Your account, Phone notifications, tap Turn on for this device and allow them. You're told about in-process checks due on jobs you signed on, lots and orders put on hold, things waiting for your approval and the automation rules' messages, even with the app closed; untick the kinds you don't want. On an iPhone or iPad, add the app to the Home Screen first and turn them on from there. A device gets the notifications of whoever signed in on it last.
Go thereCan I use it on a phone or tablet?
Yes: every page works on a phone, a tablet or a laptop. Install it to open it like an app, full screen with its own icon: open Install the app (under your initials, or on the sign-in page) on the device and follow the steps for it. It works on iPhones, iPads, Android and laptops, in English or Spanish.
Go thereCan I work without the mouse?
Yes. Press ? anywhere for the list of keyboard shortcuts: / jumps to Find, n starts a new record, and g then a letter goes to a page (g l for Lots, g o for Production orders). Tab moves through a page; on the menu, Tab goes from section to section and the down arrow opens a section's pages. The first Tab on a page offers Skip to the page, past the menu.
How do I download all our data?
Settings > Your data > Download everything: one zip file with a spreadsheet for each kind of record, every signature, the whole audit trail and your setup. The owner (and people who change company settings) can download it at any time, even when the company is read-only.
Go thereI forgot my password.
On the sign-in page, choose Forgot password? and type your email: we send a link to set a new one, which works once within an hour. Floor workers who sign with a PIN ask whoever manages people for a new starting PIN instead.
Go thereWhat is the Work orders plan?
BatchFlow as your shop floor beside the ERP you already use: production orders and the floor screens, master manufacturing records, items, lots and stock, receiving, documents and quality. Sales, shipping, invoices, purchasing, costing and planning stay in your ERP. Work orders come in from Order Time (Settings > Integrations), a spreadsheet (Company > Import > Production orders) or any system through the API; when an order is done, your ERP is told. Moving up to a full plan keeps everything.
Go thereHow do I connect Order Time?
Settings > Integrations > Add Order Time: pick the role it makes orders with, type the API key (Order Time's Master Admin gets it) and the Order Time user it acts as. Every few minutes its open work orders become production orders here (the assembly's item number must be one of your item codes), and when an order is released (or finished, as you choose) Order Time gets the lot made and the work order is set to Finished. Sync now and Check the connection are on the integration's page, with everything that came through.
Go thereHow do I bring in work orders from another ERP?
Export them as a spreadsheet (CSV) and load it under Company > Import > Production orders: the item code, how many to make, and its work order number. Loading the same file again with new rows only adds the new ones. For a live connection, your ERP (or a developer) can send them through the API with its own work order number, and hear back through a webhook when each is done: Settings > API and webhooks.
Go thereCan people sign without typing a PIN?
Only if the company doesn't work under GMP. The owner chooses it when creating the company, or later under Settings > GMP change control (with their signature): people then sign by tapping Done as themselves, and who signed and when is still recorded. Someone else can always sign with their initials and PIN (a second person checking, or a shared station).
Go thereCan I try changes without affecting real records?
Yes: Settings > Setup > Make a test company copies your setup (not your records) into a new company you own. Switch between companies at the bottom of the menu.
Go therePeople, roles and signatures
Who needs a login?
Office people sign in with their email. Floor workers don't need one: they sign each step with their initials and a PIN on a shared tablet or laptop, and they don't count against your plan.
Go thereHow do I set up a shared laptop, tablet or phone on the floor?
People > Stations > Add a station: name it, pick its role and language, and whether it stays signed in as the station, lets people sign in on it with their initials and PIN, or both. Open the setup link it gives you on the device (it works once, within an hour). People who sign in there work as themselves and are signed out after the idle minutes you choose. Stations and floor sign-ins don't count against your plan.
Go thereHow do roles work?
A role is a set of permissions (Manager, Production, QA, Viewer to start). Give people one or more roles under People. Nobody can give a permission they don't have themselves, and QA Certified is given person by person.
Go thereHow do electronic signatures work?
Each signature asks for initials and PIN, is checked on the server, and records the meaning (performed, verified, reviewed, approved), the name and the time. Signed records are never changed: corrections are new signed entries. This is designed to support 21 CFR Part 11.
Go thereSomeone forgot their PIN.
Someone who manages people sets a new starting PIN under People; the person changes it at the first signature (or under Change a PIN).
Go thereCan I turn on two-step sign-in?
Yes, each person under Your account, with an authenticator app. The owner can also require it for everyone who signs in with an email, and sign office users out after some idle minutes: Settings > Sign-in rules.
Go thereProduction and the floor
How do I make a production order?
Production orders > New, or from an item's page. Its materials come from the item's ingredients and packaging list, else its approved formula, and its steps from the item's master manufacturing record.
Go thereWhat does the floor see?
The Floor page lists open jobs, most urgent first. A job opens one part at a time: start, materials (pull lots by scanning or picking), each stage of its master manufacturing record, finish. Every step is signed with initials and PIN, in English or Spanish.
Go thereWhat is a master manufacturing record?
The steps an order follows (before-start logs, weighing, timers, in-process checks, samples, yield, sign-offs), with limits. Master manufacturing records are GMP setup: a change is a draft that someone with Approve GMP setup changes signs before it takes effect.
Go thereWhy can't an order finish?
Every material that's counted must be pulled, and every required step signed (including second-person verifies). The order page lists what's still open.
Go thereHow do I plan the week?
Planning > Schedule shows each work center's days with the orders on them and their hours against what it has. Drag an order to another day, or use the form on its card.
Go therePlanning: what to make and buy
How does Plan: make and buy work?
It takes what's going out (confirmed sales orders, your forecast, open orders' materials) against what you have and what's coming in, item by item down the ingredients and packaging lists, and suggests the orders to place so nothing runs short or below its reorder point. Tick the suggestions to make the production orders or draft purchase orders.
Go thereWhere do lead times come from?
For bought items, the supplier's lead time (on the item's Buying tab, else the supplier's usual one). For made items, Days to make on the item's Production tab (1 day if blank).
Go thereWhat is the forecast for?
Expected sales per item and month, for demand you know is coming but isn't ordered yet. The plan uses the larger of the forecast and the sales orders due that month.
Go thereStock, lots and quality
What happens when stock is received?
It becomes a lot with its own number and barcode. Categories that are inspected wait in quarantine until someone signs the receiving inspection; nothing in quarantine, on hold, rejected or expired can be pulled or shipped.
Go thereHow do I trace a lot for a recall?
Quality > Lot trace: where a lot came from and where it went, through every order and lot, and which customers got it. Print it for the recall file.
Go thereHow do I count or adjust stock?
From a location's page: a signed count (differences are adjusted), or a signed adjustment with a reason on a lot.
Go thereWhat can I scan with?
A phone or tablet's camera (Use the camera, on any iPhone, iPad or Android), or a USB or Bluetooth barcode scanner, which types the code into the box. If the camera doesn't open, allow the site to use it (on an iPhone: Settings > Apps > Safari > Camera).
Go thereCan I receive by scanning?
Receive > Scan: the item's barcode (or its code) opens its receiving form, a purchase order's number shows what's still to come on it. On the form, scan the label where it goes to pick the place.
Go thereHow do I keep materials for a production order?
On the order's page, Materials > Set aside materials: what each material still needs is set aside, first to expire first. Only that order can pull it (the floor suggests that lot); whatever is left goes back when the order finishes or is cancelled.
Go thereWhere are SOPs and records kept?
Quality > Documents. Controlled documents (SOPs, specifications) are approved with a signature and reviewed on a schedule; records are filled in and closed. Nothing is deleted: a mistake is cancelled with a reason.
Go thereSupplements and contract manufacturing
How do I set an item's specification?
On the item's page, Quality > Specification: one line per test (identity, strength, purity, composition, contaminant, physical, microbial), with its method, unit and lowest and highest limits or the expected result. Tests marked Required for release must pass before any lot of the item is released. This is built around 21 CFR 111.70.
Go thereWhy can't a lot be released?
Its item has required tests without a passing latest result. Record each result on the lot's page, Quality > Record a result: pass or fail is worked out from the limits. A retest is a new result and the latest one counts. A dietary ingredient also needs an identity test in its specification (111.75).
Go thereWhat is a dietary ingredient?
An ingredient that must pass an identity test before each lot is used. Tick it under Supplement settings on the item's Quality tab.
Go thereHow do label claims work?
On a draft formula, Label claims: the serving size in mg and, per ingredient, the claim per serving, the planned overage and the ingredient's potency. The app works out the percent each claim needs and shows whether the formula meets it. Claims are approved with the formula and copied into each new draft.
Go thereHow do I keep reserve samples?
On a lot's page, Quality > Reserve samples: sign the sample with where it's kept. It's kept until a year past the lot's expiry (or two years without one); disposing of it is signed by QA, not before then. Quality > Reserve samples lists them all.
Go thereHow do I run a stability study?
On a lot's page, Quality > Stability: pick where it's stored and the months to test at. Each pull is due on its day (Home lists those coming up); sign the pull, then record its results, which don't count for release. Quality > Stability lists every study.
Go thereHow do I make products for a customer (contract manufacturing)?
Set the product's Owned by under Supplement settings: its formula and specification are the customer's. Materials the customer sends are received with Owned by set to them (or set it later on the lot's page, before anything is pulled): they cost nothing and only go into that customer's products.
Go thereHow do I print a certificate of analysis?
Certificate of analysis on the lot's page prints the specification, the latest results and the release, to send with the shipment.
Go thereBuying, sales, shipping and invoices
How do I order from a supplier?
Buying > Purchase orders, or Buying > Running low, or Planning > Plan: make and buy. Receive against the order's lines; the lot keeps the order and its cost.
Go thereHow do sales orders become shipments?
Confirm the sales order, set stock aside or make it to order, then Make a shipment. Shipping takes the stock out and records which customer got which lot.
Go thereCan I pick a shipment by scanning?
On the shipment's Change tab, Pick by scanning: each lot sticker fills a line waiting for its lot (or adds one), a pallet's label adds everything on it. Save the shipment when done.
Go thereA shipment was marked shipped by mistake. Can I undo it?
On the shipment's page, More > Undo shipping, with the reason: the stock goes back and the shipment is cancelled. Void an issued invoice for it first.
Go thereHow do credit limits work?
Set a customer's credit limit on their page. Confirming an order that takes them over it (what they owe plus open orders) warns, or is refused if Settings > Workflows says so.
Go thereHow do invoices get to QuickBooks or Xero?
QuickBooks Online: link it in Settings > QuickBooks (the owner connects once) and invoices, credit notes and payments go by themselves every few minutes; received goods as bills and cost of goods sold too, when switched on. Xero, or QuickBooks by hand: Invoices > Export, files in their import layouts.
Go thereYour company, plan and data
How do I change plans or pay?
Settings > Billing (owner). Plans are paid through Stripe; floor workers without a login never count.
Go thereCan support see my data?
Only if the owner lets them, for the days chosen, under Settings > Support access. Every look is listed there, and PINs are never visible to anyone.
Go thereHow do I document my setup for validation?
Settings > Setup > Print my setup: a dated report of every setting, role, form, master manufacturing record and more, with a place to sign. We validate the product; you validate how you configured it.
Go thereWhat are workflows?
Settings > Workflows: optional steps such as a signed approval for purchase orders over an amount, refusing suppliers that aren't approved, and holding to credit limits. A change is versioned and approved like other GMP setup.
Go thereCan I change how documents print?
Settings > Print layouts: per document, its title, logo and address, notes under the heading and at the foot, and which of the record's own fields print. Layouts of the batch production record and certificate of analysis need a signed approval.
Go thereCan I add my own columns to a list?
Add fields under Settings > Custom fields, then open Columns and filters above Items, Lots, Production orders or Purchase orders. Save it as a view to keep it.
Go thereCan I take my data with me?
Yes. Every main list exports to CSV, and the setup exports as a file under Settings > Setup.
