What this covers

How BatchFlow handles personal information: about the people who use the service for their company, and about visitors to this site. For the records a company keeps in BatchFlow, the company decides what goes in and we process it on its behalf (see the Data Processing Addendum).

What we collect

  • Account details: name, email, signing initials, the company you belong to, and your role.
  • What you do in the app, kept in your company's audit trail: who changed or signed what, and when.
  • Sign-in information: when you signed in, failed sign-in attempts, and the device setup for shared stations.
  • Billing: your company's plan and payment status. Card details go to Stripe and never reach us.
  • What you send us: messages, sign-up requests and support conversations.
  • Basic technical logs (internet address, browser) kept by our hosting providers to run and protect the service.

What we use it for

  • To run the service, sign you in, keep your company's records and show them to the people allowed to see them.
  • To email you what you asked for: invitations, password resets and notifications.
  • To support you, bill your company, and keep the service secure.

We don't sell personal information, and we don't use your company's records for advertising.

Who processes it for us

  • Vercel (hosting the app) and Supabase (database, files and sign-in), in the United States.
  • Resend (sending email).
  • Stripe (payments).
  • Anthropic, only when a company uses “fill in from an email” on a sales order: the pasted email is sent to be read.
  • Intuit (QuickBooks Online), only when a company connects it.

How long we keep it

While your company uses BatchFlow, and for 90 days after its plan ends, so it can export its records; then it is deleted on request or at the end of that time. Signed records and the audit trail can't be edited while kept, because the law for these records requires it.

Your choices

  • Ask your company's owner or administrator to correct your details, or change them under Your account.
  • Ask us what we hold about you, to correct it or, where the law allows, delete it. Some records must stay unchanged in your company's audit trail.

Cookies

We use only the cookies the service needs: to keep you signed in, remember the company you're working in, and recognize a shared station. No advertising or tracking cookies.
