Terms of Service

Last updated October 22, 2026

1. The agreement

These terms are between BatchFlow (“we”) and the company that signs up (“you”). By creating a company or using the service you agree to them on your company's behalf, and confirm you may do so.

2. Your data is yours

  • You own everything your company puts into BatchFlow: records, documents, files and settings (“your data”).
  • We use your data only to run the service for you, to support you when you ask, and as our Privacy Policy says.
  • You can download all of your data at any time, including after you stop paying.

3. Plans, trial and payment

  • Every new company starts with a 30-day free trial. Plans and prices are on the pricing page.
  • Monthly plans renew each month and can be cancelled at any time; cancelling takes effect at the end of the period paid. Yearly plans are paid up front and aren't refunded part-way.
  • Payments are taken by card through Stripe. Prices exclude taxes where they apply.
  • If a trial ends without a plan, a payment has failed for more than 14 days, or a cancelled plan runs out, your company becomes read-only: you can still see and export everything, but not add, change or sign records. Choosing a plan opens it again.
  • We'll tell you at least 30 days ahead of any price change for your plan.

4. After you leave

When your plan ends we keep your data, read-only, for 90 days so you can export it, then delete it when you ask or at the end of that time. Your regulations may require you to keep batch and quality records for years: export them before then. Backups are overwritten on their normal schedule after deletion.

5. Using the service properly

  • Keep your logins and PINs to yourselves, one person each, and tell us at once if you think one has been misused.
  • Don't try to reach other companies' data, break or overload the service, or resell it.
  • Don't put in anything unlawful or that you have no right to use.
  • We may suspend access that breaks these rules or threatens the service, and will tell you why.

6. Compliance is shared

BatchFlow is designed to support 21 CFR Parts 111, 117 and 11. Using it doesn't by itself make your company compliant: you remain responsible for validating it for your intended use, for your procedures, and for the accuracy of your records.

7. The service

  • We aim to keep the service available at all times, with planned maintenance announced ahead; the status page shows how it is now.
  • We may improve and change the service. We won't remove a main feature you use without telling you ahead.
  • Integrations (QuickBooks, Stripe, carriers and others) are run by their own companies, under their own terms.

8. Limitation of liability

The service is provided as is. To the extent the law allows, we aren't liable for indirect or consequential losses (lost profits, lost production, recalls), and our total liability in any 12 months is limited to what you paid us in those 12 months.

9. Changes to these terms

We'll tell you at least 30 days before a change that affects you. Using the service after that means you accept the new terms.
